Heritage Lottery Fund (HLF) Project Administrator required.

The Trustees of Clare Castle Country Park are looking to employ a Project Administrator.   

This post will be responsible for supporting the delivery of the Park’s Heritage Lottery Fund (HLF) Project and other administration tasks that are deemed appropriate.

The Project includes both capital spend on buildings, interpretation and infrastructure, and the implementation of a comprehensive activity plan, phased over a period of 2 ½ years.


The Role

Hours: 17.5 hours per week, to include occasional evening and weekend working for about 2 years with the possibility of it becoming a permanent position.

Salary: £11,000 p/a (plus pension contribution).

Responsible to: Project Manager initially and then the Park Manager. The role includes working alongside the Volunteer and Community Engagement Manage.

Purpose of role: Providing support for the delivery of the HLF project ‘Activity Plan’.

Tasks: The following is an indication of the key tasks the Administrator is expected to carry out.  They are not listed in priority order and may be varied and changed as required within the constraints of the grade and the level of responsibility implicit in the role.

Provide administrative support to the HLF Project Team, Project Manager and Volunteer & Community Engagement Manager as required. This will include:

  • Taking of minutes of meetings,
  • Maintaining records of volunteer involvement
  • Maintaining records of health & safety
  • ‘Manage’ the office and procure all office supplies and equipment.
  • Maintain good relationships with all individuals/organisations with whom the Trust works.

Make travel and meeting etc arrangements and keep the agreed records, statistics (e.g. volunteer, training, evaluation etc) and other information required and provide clear and accurate reports as required.

Act as the first point of call for enquiries (whether by phone, email and social media) and general correspondence.

Take whatever steps are necessary to keep the website and Facebook are up-to-date.

Ensure that all necessary documentation is complete, up-to-date and filed appropriately

Keep basic accounting records, prepare salaries and related matters, and produce agreed financial reports and information as required.
